Billing Specialist

The Billing Specialist is responsible for executing critical billing operations and financial coordination activities related to work performed by the organization. This position reports directly to the Business Office Manager and plays a key role in ensuring revenue is captured accurately, invoiced timely, and aligned with contract requirements in a fast-paced, high-demand environment.

This role operates in a deadline-driven setting where customer expectations are urgent and constantly evolving. We are looking for someone who can think quickly, stay organized under pressure, and take ownership of their work from start to finish.

Job Duties:

  • Review Daily Work Reports (DWRs) to ensure accuracy, completeness, and alignment to billable scope
  • Prepare and submit invoices in accordance with contract terms, rate sheets, and customer requirements, often under tight deadlines and rapid turnaround expectations
  • Validate invoices against Purchase Orders (POs), job numbers, cost codes, and billing limits    
  • Track and manage unbilled work daily, proactively escalating issues to prevent delays and     backlog
  • Communicate with field supervisors and project teams to resolve discrepancies and obtain required     backup in a timely and persistent manner
  • Maintain organized, audit-ready billing documentation
  • Manage multiple jobs simultaneously, adjusting priorities as urgent requests arise
  • Support accurate revenue capture by ensuring all billable work is identified and invoiced correctly

  • Effective communicator who follows up consistently across teams
  • Strong time-management, organizational, and problem-solving skills with a “get it done” mindset
  • Experience in billing, construction, railroad, or related industries preferred, but not required
  • Ability to quickly learn customer billing portals and invoicing systems
